pictsquare guide for exhibitors


Signing Up for a Stall:

For exhibitors, we will be doing sign-ups a little bit differently than pictSquare. There will be a Google form open for sign-ups on November 1st, and it will close on November 16th. We will email acceptance confirmations/waitlist confirmations between November 17th and November 24th, with links to our discord (open only for exhibitors until the event itself), and will be reminding all exhibitors to sign up for pictSquare.

When you sign up for pictSquare and create your profile (please follow our general guide here), you will see that you can link up to three external sites for your profile. Those are also the same sites that will appear on your stall front, so please make sure to link to any portfolios/social media you use (this can be ao3, pixiv, twitter, tumblr, etc).
A link for the actual event on pictSquare will be sent to all exhibitors on January 18th, 2025. At the bottom of the event, you will see this button, allowing you to apply:

This is what the application page looks like. Note that you will be able to edit your details even after applying:

You will then be asked to confirm your details, and once you do so you will see this screen:

You can then check your details and edit them:

Please note that you won’t be placed automatically in the digital map, but would be assigned a place by the event mods.

Stall Settings and Customization:

On your main stall page, you will see three tabs. Most of those pages are not in English. You could either use google translate, or the screenshots in this guide:

In the circle tab, you can edit your stall name and description, as seen above. In your description, please make sure to note if any of your links have NSFW content.In the space tab, you can customize the digital space of your stall. We will go over it section by section.STORE EXTERIOR IMAGE

This is what your stall will look like in the digital convention. You can either choose to leave it as is, create your own, or use an existing resource (either one we will be providing, or through a site like Booth).The dimensions for the stall have to be 224x224 pixels. If you do decide to create your own image, please keep in mind our event guidelines, and avoid any NSFW imagery.If you would like to use existing resources, Booth is a great place to find both free and paid ones. Here is the link to the pictSquare tag.. We will also be sharing some template stalls in the discord server. If you do decide to use someone else’s pixel art, please make sure to credit them in your stall description.STORE EFFECTS

This is entirely optional, and is only for premium members.

MESSAGEThis is also optional, but highly encouraged. This will allow visitors to your stall to leave you messages.

CIRCLE CUTThis is the image that will be shown on the right hand side of your stall, as its "profile picture." It must be 500x500 pixels (or at least maintain this ratio).

MENUThis image should showcase the type of works you have in your portfolios. For any exhibitors who have their own stores, this can be your shop catalog. For artists/cosplayers, this can be a collage of some of your works. For writers/any other type of creators, we will provide exhibitors with templates to fill for themselves, or you can create any other kind of visual representation.Finally, please remember to click save at the bottom of the page.

Exhibiting Your Work:

In the exhibition tab, you will set up the link for the main work you wish to showcase in your stall. pictSquare automatically links to its own storefront, pictSpace-One.To change that, click on “change exhibition category”:

In the pop-up window, change the setting to “other online shopping sites” and then link to your store/art/fic/other showcased work:

Save your edits and you’re done setting up your stall and exhibited work!If you would like to see what your stall will look like in the map, you can see that on the upper right-hand side, there is a grey button:

This will take you the event map before it’s launched. PLEASE DO NOT SHARE ANY IMAGES OF THE MAP/OTHER STALLS BEFORE THE EVENT LAUNCHES!!! This is solely for you to look at your stall and make any changes you might need before the event. All exhibitors will have two weeks to set up their stalls.Here is an example of what a finished stall could look like! (using a Mond-style stall, available on BOOTH).

Stall Demos:

If you would like to experiment with all of those features before January 18th, you can do so through the demo space offered by pictSquare, which you can see on your dashboard:

In test exhibit, you can set up your digital stall before the event is made available even for the exhibitors:

When you edit the text exhibit settings, you will see all of the options detailed above, and when you check the text exhibition venue you can see exactly how your stall will look (albeit using the basic pictSquare event map, and not the special one that will be made for the convention).
